Scope of the Role

As the Executive Assistant to Operations Director, you will be the right hand to our Operations Director, immersing yourself in a spectrum of tasks that span diary management, energy finesse, and overall organisational brilliance.

You will provide high-level administrative and operational support to the Operations Director in a dynamic and fast-paced environment. The Executive Assistant will act as a trusted partner, ensuring efficient management of the Operations Director's schedule, communications, and priorities while contributing to the smooth functioning of the wider operations team.

Ultimately, with the guidance and support of the Ops Director you will be first contact for colleagues and partners and will liaise with the stakeholders, ensuring all tasks are done and delivering positive results.

Roles & Responsibilities

What You'll Be Doing:

Administrative Support

  • Manage the Operations Director’s calendar, scheduling meetings, appointments, and travel arrangements.

  • Prepare agendas, take minutes, and follow up on actions for meetings chaired by the Operations Director.

  • Handle correspondence, prioritising and responding to emails, calls, and other communications on behalf of the Operations Director.


Operational Coordination

  • Support the Operations Director in project management, tracking progress against key deliverables.

  • Liaise with internal departments and external stakeholders to facilitate smooth communication and collaboration.

  • Assist in the preparation of reports, presentations, and briefing materials for internal and external use.


Strategic Support

  • Conduct research and compile data to assist the Operations Director in decision-making.

  • Act as a sounding board, providing insights and feedback on operational matters.

  • Anticipate the needs of the Operations Director and proactively address them.


Office Management

  • Coordinate events and off-site meetings as required.

  • Maintain organised systems for records, documentation, and processes relevant to the operations team.

  • Manage budgets and track expenses related to the Operations Director’s activities.

Personal Specification Skills & Experience

  • Proven experience as an Executive Assistant or in a similar high-level support role, preferably within a utility or infrastructure-focused company.

  • Exceptional organisational and time-management skills, with the ability to prioritise and multitask effectively.

  • Strong written and verbal communication skills, including experience drafting professional correspondence and preparing reports.

  • High proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant tools.

  • Experience handling confidential information with discretion and professionalism.

  • You’ve got a human touch—people trust you, and you know how to listen and take action.

  • You thrive in a fast-paced environment where change is the only constant.


Bonus Points if You:

  • Knowledge of the utilities sector, including regulatory and operational challenges.

  • Familiarity with project management tools and methodologies.

  • Experience working with senior leadership in a fast-paced environment.

  • Have experience in a remote work environment.
